Executive Assistant to the CEO
The Nuclear Threat Initiative is a nonprofit, nonpartisan, mission-oriented national security organization that works in the United States and globally to reduce catastrophic risks associated with nuclear and biological weapons, as well as other emerging technology threats. We partner with governments, non-profits, international organizations, universities, private industry, institutional funders, and philanthropists to raise awareness, advocate, and implement creative, pragmatic solutions.
As part of the NTI Executive Office, the EA to the CEO serves as a trusted advisor and facilitator to the CEO, who is a visible, high-energy former senior government official. The EA also works with the COO and NTI Vice Presidents, playing a key role in ensuring communication and operational excellence across NTI program teams.
The EA helps drive organizational results and mission success by cultivating strong relationships across the entire organization and mastering a strong understanding of NTI operational objectives. About the Role
- The EA to the CEO will be a proactive, flexible, and adaptable partner to the CEO and NTI’s senior executives, managing complex schedules, coordinating planning and logistics for multiple events/trips, deconflicting workflows, and facilitating clear communication.
- This is a high-trust, high-impact role working for a nationally recognized leader. The EA must provide executive office gatekeeping and interface with the Board of Directors, as well as other policymakers, donors, and external stakeholders.
- This role requires initiative, problem solving, innovation, strong communication and organizational skills, and attention to detail.
- The ideal candidate will be able to handle structured tasks with minimal oversight, soliciting additional guidance when it is needed, and must be able to adapt rapidly on the fly to emerging requirements.
- The role is based in Washington DC and typically requires 5 days per week in the office.
In this role you will:
- Manage complex scheduling and logistics for numerous engagements including various meetings, domestic and international trips, Board meetings, fundraisers, and government discussions.
- Support the CEO’s daily and weekly meetings, ensuring materials are well organized in advance, anticipating needs, and maintaining an efficient workflow.
- Excel at sharing information effectively and selecting the appropriate communication style for different audiences to maintain NTI’s reputation for high standards and professionalism.
- Establish systems and processes to log and track interactions with key internal and external partners so that tasks are assigned, monitored, and completed in a timely fashion.
- Balance the calendars and priorities of multiple leaders, demonstrating prioritization skills, agility in navigating changing requirements, and sound judgment, while meeting deadlines.
- Operate with discretion, independence, and integrity while proactively flagging risks and emerging requirements or opportunities.
To thrive in this role you will need:
- At least 6-8 years of experience in an executive support role, preferably providing direct support to C-suite level executives.
- Proven experience working effectively with senior leadership and across organizational functions.
- Proven experience managing and optimizing busy calendars, and experience planning complex events and overseas travel.
- Exceptional communication skills and the ability to tailor communication styles with specific, diverse audiences.
- Strong ability to manage multiple different tasks simultaneously without losing focus.
- Attention to detail, superb organizational skills, and the ability to follow through on tasks.
- Fluency in Microsoft Office 365 applications (Outlook, Word, Excel, Power Point, Teams etc.). Familiarity with Salesforce is a plus.
- Bachelor’s degree or equivalent combination of education and relevant experience.
- Commitment to the mission, values and culture of a national security nonprofit organization.
Hiring pay range: $100,000 – $130,000 annually
